Once a Sales Order is closed and the product is delivered, FTrack can generate invoices enough to cover the total amount of the order. Invoices can also record payments so FTrack users can have the "last picture" of the real state of the balance with the customers.

 

To create a invoice for an existing Sales Order select from the top menu: Actions>Add Invoice

The Invoice "Code" is the only required field.

 

To View and Edit existing Invoice from the Sales Order window, on tab Invoices, select one item and do double click on it

 

To Delete existing Invoice, edit the one you want to remove and use top menu option: File>Delete.

The information managed by the invoice details form is:

Details:
oCode: The identification code for the invoice generated by FTrack
oOrganization: The organization to whom the invoice is sent.
oSummary: The concept for the invoice.
oOpen Date: The date when the invoice is created.
oSales Manager: The responsible of the sales order and the invoice.
oAddress: Address where the invoice must be sent.
oSales Order: The sales order for which the invoice is generated.
oContact: The contact person that will receive the invoice at customer side.
oSent: The date when the invoice is sent to the customer.
oPayment term: The term of payment. See Lookup tables for more information.
oDue Date: The limit date in which the invoice must be paid.
oPayment mode: The type of payment. See lookup tables for more information.
oBank Account: Bank Account to send the payments if needed.
oAmount: Amount to pay
oDiscount: Discount applied (if needed)
oTax: Tax to apply.
Preview: This tab generates the physical invoice to print and sent to the customer
Payments: The list of payments done for the invoice. Doing double click on any of them the associated Payment details form will be displayed. See payments later on this section to find more information.

 

The actions that can be performed from the invoice details form are:

View:
oOrganization: This option opens the organization details form associated to the invoice.
oSales Order: This option displays the Sales Order details for which the invoice is created.
Actions:
oAdd Payment: This option will add a new payment to the invoice.
oSet as paid: Change the state of the invoice to paid. The amount of money to cover the invoice must be paid in order to use this option.
